How do I adjust an invoice?

Context

Sometimes you may need to modify an existing invoice by adjusting the amount due.

Common scenarios include correcting duplicate charges, reducing the amount, or zeroing out an invoice altogether.

Answer

You can adjust an invoice amount by following these steps:

  1. Go to Billing.

  2. Search for the desired outstanding or past due invoice, and click on it.

  3. Next to the "Bill Statement" title, click the Adjust invoice icon.

  4. Enter the adjustment amount you want to deduct from the invoice total.

    Example: if the amount due on the invoice is $1,000, and you enter an adjustment amount of $100, the new amount due is $900.

  5. [Optional] Under adjustment details, enter a reason for the adjustment.

  6. Click "Edit invoice" to save.

Important notes:

  • If you adjust an invoice, the customer will receive an email notifying them of the adjustment. If you need to make an adjustment without notifying the customer, read the section "Preventing customer emails" below .

  • Only positive adjustments (reductions to the invoice amount) are supported.

  • To completely cancel an invoice, enter an adjustment equal to the full invoice amount

Preventing customer emails

When an invoice is adjusted, a new version is automatically generated and emailed to the customer.

If you need to make an adjustment without notifying the customer:

  1. Edit the subscription details to change the POC and AP email addresses.

  2. Make the invoice adjustment.

  3. Change the email addresses back to the original customer contacts.
